Stop Overcomplicating It

In a recent group coaching call, someone requested a session on workflows, checklists, and the overwhelm that comes with all of it.

I knew exactly who I was going to bring in.

My Friend Bob Vieira runs a successful rental business, a fix and flip business, and has been winding down a national short sale processing company. He has built real systems for real volume.
Here are a few of my takeaways from that call.

 

📱 His Phone System Is His Cell Phone

Someone on the call asked Bob what phone system he uses.

He picked up his cell phone and held it up.

"This. My cell phone."

He said he gets better responses from sellers when they know it's his personal cell number. No automated system. No virtual number. Just him.

Simple wins.

 

How He Manages His Team

Bob runs two types of team members and manages them differently.

Virtual Assistants get super specific SOP with screen recorded directions. No room for interpretation. Just clear step by step instructions.

Domestic team members operate under what he calls Freedom and Responsibility. They have the freedom to make decisions and the responsibility to get the work done.

Trust the right people with the right level of autonomy. Don't micromanage. Don't disappear.

 

✅ The checklist Tells the Truth

Bob checklists are detailed. When something doesn't get done he goes straight to the checklist first.

If the checklist is unclear, that's a systems problem. Fix the checklist.

If the checklist is clear and the job still isn't getting done, that's a people problem. And he knows it's time to make a change.

The checklist remove the emotion from the decision.

 

That Was Just a Sample 💡

Bob also covered cold calling, warm direct outreach, scripts, CRM examples, and more on that call.

But the most powerful thing that came out of it wasn't a tactic. It was a reminder.

That text hit me hard. Because she's right.

We overcomplicate things on our own. And then we get sold on overcomplicating them even more. New software. New systems. New strategies layered on top of broken basics.

Most of the time the answer is simpler than you think.
